Instituto Bushido
Helping an NGO attract donors
Summary
Goal: Understand what problems an NGO faces and propose a solution.
My activities: Secondary research and with users, idea generation, prioritization, and prototyping.
Period: Jan/2022 – May/2022
The project was guided by the Double Diamond framework to assist in its development.
1. About Suporte uma ONG ("Support an NGO")
Suporte uma ONG ("Support an NGO") was a challenge proposed by collaborative projects VagasUX and Jovens UX&UI with the intention of joining initial professionals and NGOs that needed help. During about five months, groups of 3 to 6 people went through various phases, from discovery to final result, searching for a solution to some problem found.
Our group and some other groups were responsible for Instituto Bushido, an NGO that is committed to helping children and young people in situations of social vulnerability through sports, mainly karate.
2. Understanding Bushido's challenges
Our first step was then to understand how Bushido works, what they do, how they do it, and what problems they face. Besides that, it was also necessary to understand how an NGO operates, the nomenclatures they use, what they need to function, how they get resources, etc.
For technical reasons, we did not have direct access to the NGO representatives, so as not to overload them, since there would be many people seeking information, answers to questions made by the groups were provided to us. The responses revealed how children and young people reach the project, how it started, and other important information such as:
-
Bushido has been having problems capturing financial resources. Donations made by companies and city hall are scarce, and they also don't know how to reach individual donors;
-
Difficulty in catching the attention of new sponsors;
-
Capturing currently occurs mainly by email, with low engagement. There is no clear segmentation or strategy to approach companies or individuals;
-
One of the big interests for the future is being able to offer music classes to form a marching band. They face financial and logistical barriers, such as hiring professionals and the high cost of equipment.
Quotes from the representative of Instituto Bushido in our first contact were:
"Challenges are diverse, but communication I think is the biggest of all"
"Our focus is to try to reach os [sic] donors, but we ask for donations for PJ (legal entity) because we don't know how to reach PF (individual)"
"Every company is a potential sponsor"
3. Analysis of other NGOs
It was felt that there was a need to understand how other NGOs deal with situations similar to Bushido, how they behaved online, and also to seek inspiration. In our research, some stood out:
Projeto Ondas
Teaches surfing to children and adolescents in situations of vulnerability.
-
Target audience well defined (children from 6 to 12 years old)
-
It is possible to make donations starting from 10 reais
-
Infographic with the project's history timeline
-
Very transparent, on the website they show a graph with social and economic data of the served audience (60 children and adolescents between 6 and 12 years old)
Futebol de Rua
Uses soccer as a tool for sports, cultural, and social inclusion of children and adolescents in situations of social vulnerability.
-
In 2020, they were recognized as the best sports NGO in the country
-
Corporate sponsorship like Itaú, Unilever, and Mercado Livre
-
They also offer computer classes, cultural activities, and educational monitoring
ASM do Brasil
The mission is social and cultural education through teaching classical music.
-
The target audience is children, adolescents, and young people from communities in situations of social vulnerability
-
They operate mostly in RJ, but have hubs in PB and RO
-
Major support comes from public institutions such as the Ministry of Citizenship, Government of the State of Rio de Janeiro, and Municipal Culture Incentive Law of RJ
Vida Corrida
Has the mission of social inclusion of families living in the Capão Redondo region through play and sport as a transforming tool.
-
Focusing on items, women, and children
-
Donations via PIX and deposit in checking account
-
Among the projects are: A Rua de Brincar is a public space for encouraging the practice of physical activities and play, aimed at children
-
Athletics training offered exclusively to women and providing access to quality physical activity for free
4. Structuring learnings and directions
After conducting secondary research, understanding the NGO's context, and analyzing similar organizations, we used the CSD Matrix (Certainties, Suppositions, Doubts) as a tool to organize learnings and guide the next steps of the project.
We guaranteed this way that the entire group shared a clear vision of what we knew and what needed to be discovered. In addition to establishing which questions were most critical to answer in later phases.

5. User research
5.1 Preparation for research with users
With the questionnaire, we intended to:
-
Understand motivations and barriers to donations.
-
Identify preferences regarding donation format (frequency, value,...).
-
Understand expectations regarding online communication and account transparency of the NGO.
During research with Bushido and analyzing the behavior of other online NGOs, we identified the need to segment the target audience into two groups: companies, which were already the main focus of Bushido's capture initiatives, and individuals, a potential public not yet explored, but for which the NGO showed interest, without knowing how to reach it.
To proceed with user research, we decided to continue only with the individual public, mainly due to the practical difficulty of finding these companies. Companies usually have more bureaucratic processes, long decision cycles, and greater difficulty in recruitment in the short term.
This segmentation decision was essential to define the scope of the project within the available time and resources.
5.2 The questionnaire
We created the questionnaire using Google Forms and reached out to the public on social media platforms. We received 25 responses. Some data:
72% cited identification with the cause of the NGO as the main motivation to make donations. Another is knowing the purpose of the donated money (28%)
The main barriers include not knowing how to make donations (25%), lack of identification with NGOs (25%), and lack of trust (16.7%).
56% follow the activities of the NGOs to which they make donations, usually via social media (Instagram and Facebook, both with 32%) or NGO websites.
5.3 What we discovered
-
People value transparency and stories of impact;
-
People are interested in knowing the destination of their money;
-
Many people donate but do not follow the progress of NGOs;
-
Identifying with the cause defended by the NGO is a very important motive, as much as people saying they make/made donations;
-
Ease in the donation format: Many people highlighted the importance of a simple and fast donation process.
The results showed the need for Instituto Bushido to work more on loyalty and transparency strategies, while updating their communication and online channels. This way, they could increase donation frequency and attract a new audience.
5.4 Challenge in data collection
After quantitative research, new questions arose that needed to be explored:
-
For those who did not donate due to lack of interest, how could we discover what could generate a desire, or if it simply wouldn't be possible to engage them?
-
For those who never considered donating, but showed interest in learning more, how could we understand the most effective way to present information and engage them?
-
For those who mentioned being approached by volunteers, what would a deeper understanding of that experience be like?
-
For those who donate to an NGO, what was the process to make that decision? Was it a donation to a local NGO, for example? And what are the motives that drove that attitude?
-
Why do people follow the NGO or motive for which they donate, but don't follow the status of NGOs, or application of their donations?
In the questionnaire, we asked for respondents' contact information to clarify doubts and explore their responses in depth through questions sent via social networks. As we were able to speak with only two of the twelve people we contacted, we consider that this phase would not be carried out at this time but could be resumed in the future, in conjunction with research focused on companies, to achieve more consistent results.
6. Solution generation and prioritizations
After analyzing research results and donor behaviors, we sought to identify strategies to make Bushido more attractive and engaging for donors.
How might we encourage more people to donate to Bushido?
-
Active social media with many photos;
-
Easy-to-navigate website;
-
Testimonials from people served by the project;
-
Videos on the site showing testimonials and how classrooms work;
-
Telling the history of the NGO, demonstrating quality and credibility.
How might we make Bushido more attractive to individual donors?
-
Offering diverse, different, and easy ways to donate: PIX, PayPal, donation of food, etc.;
-
Providing an address for delivery of food and other items that can be received by the NGO;
-
Making transparency reports easy to find;
-
Creating a newsletter with information on what is happening at Bushido.
Based on this exercise, prioritizing what is possible to do and important at this moment for Bushido, the changes we made were:
-
Provide diverse, different, and easy ways to donate: PIX, PayPal, donation of food, bank deposit, etc.;
-
Provide an address for delivery of food and other items that can be received by the NGO;
-
Beautiful and easy-to-navigate website;
-
Testimonials on the website in text;
-
Add information about social media, redirecting to them;
-
Section with documents that demonstrate transparency;
-
Telling the history of the NGO, demonstrating quality and credibility.
7. Result
After prioritizing the items to be included on the site, we developed an interactive prototype that incorporated the main solutions identified during research.
The prototype was presented to the NGO and mentors and received positive feedback. We were winners of the challenge for Bushido and had the opportunity to move forward and advance with the project's implementation. 🏆

8. Final considerations
Although we had the opportunity to move forward with the implementation of this project, that stage ended up not being carried out due to questions related to developer availability. Despite this, we believe that the project served as an enriching experience and generated valuable contributions for the NGO.
Much can still be done for the project to reach its full potential. Although implementation of the site did not occur during the challenge, we see opportunities for the evolution of Bushido.
One of the priorities would be to resume research with users, focusing both on individuals and the corporate segment, which faced difficulties previously mentioned, for a deeper understanding that permits identifying new barriers and opportunities, generating even richer insights.
